How to Edit Patient Organisation Field

Introduction

Organisation fields are custom data fields configured by your organisation to track specific patient information (such as treatment protocols, risk scores, or department-specific details). You can update these fields directly from a patient's profile to record new values or enter historic data.

Before You Start
  • You must have access to view the patient (member of at least one team in common with the patient)
  • Organisation fields must be configured by your organisation administrator
  • Each field has a specific type (text, number, date/time, or yes/no) that determines what kind of data you can enter
Steps
  1. Navigate to the patient's profile:

    • From the sidebar, click My Patients (to see all your patients) OR click a team name (to see that team's patients)
    • Click on the patient's name in the table to open their profile
  2. On the Profile tab (the default view), scroll down to the organisation fields section, located below the patient's demographic information

  3. Each organisation field is displayed as a card showing:

    • The field name
    • The current value (or "-" if empty)
    • When it was last updated (if applicable)
    • A pencil edit icon
  4. Click anywhere on the field card you want to update

  5. The Edit field name dialog box opens, showing:

    • The current value (if one exists) with its applicable date and time
    • An input field for the new value (the type varies based on field configuration)
  6. Enter the new value:

    • For text fields: Type the information in the text area
    • For number fields: Enter a numeric value
    • For date/time fields: Use the date and time pickers
    • For yes/no fields: Toggle between "True" and "False"
  7. (Optional) If you're entering old or historic data:

    • Toggle Is this old / historic data? to yes
    • Additional fields appear for Applicable date (select year, month, day) and Applicable time (in 5-minute increments)
    • Note: If you enter a time, you must also enter a date
  8. Click Submit

  9. The dialog closes automatically, and the organisation field card updates to show:

    • Your new value
    • The updated timestamp
Tips
  • Field types: Different fields accept different data types. If you see an error saying "The value entered is not the correct type or incomplete!", check that you've entered the right kind of data (e.g., numbers for numeric fields)

  • Historic data: Use the historic data toggle when recording information that relates to a previous date/time rather than the current moment. This is useful for entering retrospective observations or data from paper records

  • Date and time relationship: The system requires a date if you specify a time. You'll see the error "An applicable date must accompany a applicable time" if you try to submit time without a date

  • Audit trail: All changes to organisation fields are recorded in the patient's Log tab, showing who made the change and when

  • Real-time updates: After saving, the patient's profile refreshes automatically. Other team members viewing the same patient will see your update when they refresh their view

  • Cancelling: Click outside the dialog or press the close button to cancel without saving. There's no confirmation prompt -- unsaved changes are discarded immediately
