Introduction
Update a patient's current location to reflect their physical position within your facility. This ensures all team members can quickly locate patients when needed for clinical care or urgent reviews.
Before You Start
Permissions required:
- Organisation Administrators can change the location for any patient in their organisation
- Clinical users and Team Owners can change the location for patients in their shared teams
If you cannot access a patient's profile, you may not have the necessary team membership or administrative rights.
Steps

Navigate to the patient whose location has changed. You can find them through My Patients in the sidebar, or by viewing the Patients tab within one of your teams.

Click on the patient's name to open their patient profile.

Ensure you're viewing the Profile tab (this is the default view when you open a patient).

In the patient demographics section, locate the Current Location field. You'll see a pencil icon indicating this field is editable.

Click anywhere on the Current Location field. A dialog box titled "Update patient location for [Patient Name]" will appear.

The dialog displays two fields:
- Current location (greyed out, showing the patient's existing location)
- New location (empty text input field)

Type the patient's new location into the New location field. You can enter up to 500 characters of text. Common examples include ward names, bed numbers, or room identifiers (e.g., "Ward 4 Bay 2 Bed 3" or "ICU Room 12").

Click the Submit button to save the change. The button will show a loading spinner while the update is being processed.

Once complete, the dialog automatically closes and you'll see the updated location immediately displayed in the Current Location field on the patient's profile.
Tips

You can clear a patient's location entirely by leaving the New location field blank and clicking Submit. This is useful when a patient's exact location is temporarily unknown.

The location field is free text with no dropdown or autocomplete. Your organisation may have naming conventions for locations -- check with your team if unsure.

If you see an error banner stating you cannot move the patient, verify that you share at least one team with this patient. Only users with viewing permissions can update patient locations.

Changes to patient location are recorded in the patient's audit log (viewable in the Log tab), ensuring full traceability of location updates.

Unlike some other patient updates, changing a patient's location does not trigger push notifications to other team members. Make sure to communicate significant moves through your usual handover processes if needed.
