Introduction
The My Actions view displays all actions currently assigned to you across all your teams. Use this view to quickly see what needs to be done, identify overdue or urgent actions, and manage your workload efficiently.
Before You Start
No special permissions required. All organisational users (Administrators, Team Owners, and Clinical Users) can access their personal actions list.
Steps
-
From the sidebar, click My Actions. A badge next to this menu item shows how many of your actions are overdue.
-
The Actions List displays all your open actions in a sortable table. By default, actions are sorted by due date (soonest first) with 50 actions per page.
-
Each action row shows:
- Status badge: Colour-coded as "Overdue" (red), "Soon" (yellow, due within 24 hours), "Open" (green), or "Closed" (grey)
- Patient details: Name, gender, date of birth with age, Medical Record #, and Nat.ID
- Action title: The task description
- Location: A cyan tag showing the patient's current location (if recorded)
- Due date/time: When the action is due, with relative time (e.g., "2 days from now" or "3 hours overdue")
-
To sort the table, click any column header (Patient, Title, Location, or Due). Click once for ascending order, twice for descending order. Your sorting preference is saved for your next session.
-
To view action details, click anywhere on a table row (except on the action buttons). The Action Detail page opens, showing:
- Full action description
- Who created the action and when
- The assigned team member
- Any attached files or images
- Progress updates added by team members
- Outcome (for completed actions)
-
To quickly complete an action (from the list view):
- Click the checkmark icon on the right side of the row
- The button changes to Click to Complete
- Click again within 2 seconds to confirm completion
- Note: This method does not allow you to add an outcome description
-
To complete an action with details (from the list view):
- Click the kebab menu (⋮) on the right side of the row
- Select Complete Action to open a dialogue box where you can record the outcome and attach files
- Or select Reassign Action to assign the task to another team member
- Or select Update Progress to add a progress note without closing the action
-
From the Action Detail page, use the dropdown menu at the top to access the same three options: Complete action, Reassign action, or Update Progress.
-
Navigate between pages using the Previous and Next buttons at the bottom of the table, or click specific page numbers.
Tips
-
The sidebar badge shows your overdue action count at a glance -- you don't need to open the view to see if you have urgent tasks.
-
Actions marked "Soon" are due within the next 24 hours. These should be prioritised alongside overdue items.
-
If an action has no due time specified, the system treats it as due at 23:59 on the due date for overdue calculations.
-
Your sort preference and page position are saved in your browser session, so returning to My Actions will show the same view you left.
-
The quick-close button (checkmark icon) is fastest for simple tasks that don't need outcome documentation. Use the full "Complete Action" dialogue for tasks that require a written outcome or attachments.
-
Click the patient's name in the action detail view to jump directly to their full patient record.
-
If you have no actions assigned, the page displays the message "You do not have any actions."
