Working with Attachments

Introduction

Attachments allow you to upload and view files related to patient actions, clinical notes, and team referrals. You can attach images, videos, PDFs, and other documents to provide additional context and documentation for patient care.

Before You Start
  • You must have access to the patient or team to add or view attachments
  • Files are validated by type when you upload them
  • Supported file types include images (JPEG, PNG, GIF, TIFF), videos (MP4), and documents (PDF, Word, Excel)
Adding Attachments to a New Action
  1. From the Patient View, click the Actions tab
  2. Click the patient functions menu (⋮) and select Create Action
  3. Fill in the required action details (Assignee, Category, Title, Description)
  4. Scroll down to the Attachments section under "Optional Information"
  5. Click the Choose File button
  6. Select a file from your device
  7. The file uploads immediately and appears in the attachments list with its filename
  8. To add multiple files, click Choose File again for each additional file
  9. To remove a file before submitting, click the bin icon (🗑️) next to the attachment
  10. Click Submit to create the action with your attachments

If you select an unsupported file type, you'll see the error "Error: Unsupported file extension" which automatically dismisses after 3 seconds.

Adding Attachments to an Action Update
  1. In the Patient View, click the Actions tab
  2. Find the action you want to update in the table
  3. Click the action's dropdown menu (⋮) and select Update Progress
  4. The dialog titled "Update progress on action [Action Name] for patient [Patient Name]" appears
  5. Enter your update text in the New update field
  6. Scroll to the Attachments section
  7. Click Choose File to add supporting files
  8. Selected files upload and appear in the list
  9. Click Submit to save your progress update with attachments

Note: You must enter text in the update field before the Submit button becomes enabled. Previous updates are displayed above the form under "Previous updates".

Viewing Attachments from Patient Actions
  1. Navigate to the Patient View and click the Actions tab
  2. Find an action that has attachments (look for the attachment indicator in the row)
  3. Click the action's dropdown menu (⋮)
  4. Select View Attachments (this option is disabled if the action has no attachments)
  5. The Attachments viewer opens, displaying all files attached to this action

In the Attachments viewer:

  • Images display full-size directly in the viewer
  • Videos display with standard playback controls (play, pause, volume, seek)
  • PDFs display with zoom controls:
    • Click + to zoom in
    • Click - to zoom out
    • Current zoom percentage is shown between the buttons
    • On touch devices, you can also pinch-to-zoom
  • Word and Excel documents show a Download File link
  • Other file types show a download option

Use the (left arrow) and (right arrow) buttons to navigate between multiple attachments. Click outside the viewer or press the close button to exit.

Viewing Attachments from Patient Notes
  1. Navigate to the Patient View and click the Notes tab
  2. Find a note with attachments in the table (the Attachments column shows a count tag)
  3. Click the note's dropdown menu (⋮)
  4. Select View Attachments (disabled if the note has no attachments)
  5. The Attachments viewer opens with the same features described above

The Notes table displays these columns: Date Created, Applicable Date, Created by, Attachments (with count), Title, and Content.

Viewing Attachments from Team Referrals
  1. From the sidebar, select Teams and choose a team
  2. Click the Referrals tab
  3. In the Received referrals section, find a referral with attachments
  4. The Attachments column shows a count tag (e.g., "2") and a view button
  5. Click the view button to open the Attachments viewer

Note: Only Received referrals display attachment information. Sent referrals do not show attachments in the table.

Supported File Types

The system validates files using MIME type detection:

Images:

  • JPEG (.jpg, .jpeg)
  • PNG (.png)
  • GIF (.gif)
  • TIFF (.tiff, .tif)

Videos:

  • MP4 (.mp4)

Documents:

  • PDF (.pdf)
  • Microsoft Word (.docx, .doc)
  • Microsoft Excel (.xlsx, .xls)

Other: Most standard file types are accepted but may only be downloadable, not viewable in-browser.

Managing Attachments

Removing attachments before submission:

  1. Find the attachment in the Attachments section of the form
  2. Click the bin icon (🗑️) next to the attachment name
  3. The attachment is immediately removed from the form
  4. The file is not uploaded to the server if removed before you submit

Important: Once you submit the form, attachments cannot be removed through the interface.

Tips
  • Use descriptive filenames before uploading – the original filename is preserved and displayed in the viewer
  • Files upload automatically when selected – you'll see the filename appear in the list once the upload completes
  • You can attach multiple files to a single action or update by clicking "Choose File" multiple times
  • On mobile devices, the attachments column header is hidden to save space, but you can still access attachments through the row menu (⋮)
  • Right-click is disabled on images and videos in the viewer to protect content
  • PDF viewing and video playback depend on your browser's capabilities – ensure you're using a modern, up-to-date browser
Troubleshooting

"Error: Unsupported file extension"

  • The file type is not recognised by the system
  • Try converting the file to a common format (PDF for documents, JPEG for images) or contact your system administrator

"Failed to load PDF"

  • The PDF file may be corrupted or too large to render in the browser
  • Try downloading the file instead, or re-upload a fresh copy

"View Attachments" button is disabled

  • The action or note has no attachments – this is expected behaviour

File won't upload (button shows pending state)

  • Network issue or the file is very large
  • Wait for the upload to complete or try again with a stable connection

Can't find attachments on a referral

  • Attachments are only shown on Received referrals in the Referrals tab, not Sent referrals
