How to Get Access to CAREFUL for the First Time

Introduction

First-time access to CAREFUL is granted through an invitation sent by your organisation administrator or team owner. You'll receive an email or SMS with a secure link to create your account and set your password.

Before You Start
  • You must have been invited by an administrator or team owner from your organisation
  • Check your email inbox and SMS messages for an invitation from CAREFUL
  • The invitation link is valid for 24 hours only
  • You'll need to create a password that is 10 characters or longer
Steps
Receiving Your Invitation
  1. Your organisation administrator or team owner will invite you by providing your name, mobile number, and/or email address
  2. You'll receive an email with the subject "You're invited to join [Organisation Name]" and/or an SMS message
  3. The message contains a secure verification link that looks like: https://app.careful.online/auth/verify-invitation?token=...
Creating Your Account
  1. Click the verification link in your email or SMS message
  2. Your browser opens to the account creation page showing "Create account - [Region]"
  3. Enter your new password in the Password field (must be at least 10 characters)
  4. Re-enter the same password in the Confirm password field
  5. If the passwords don't match, you'll see a red error message: "Passwords must match"
  6. Read WARNING 1 about patient confidentiality and WARNING 2 about activity logging
  7. Click the Careful End User Licence Agreement link to review the full terms (opens in a new tab)
  8. Tick the checkbox: "I agree to the terms of use and acknowledge these warnings"
  9. Click the Create account button (this button is disabled until you've checked the box and your passwords match)
Success Confirmation
  1. You'll see the "Sign up Successful!" page with information about the CAREFUL mobile app
  2. A countdown timer shows: "You will be redirected in [10...9...8...]"
  3. Wait for the automatic redirect or click "Click here to Login" to proceed immediately
Logging In for the First Time
  1. On the login page, enter your mobile phone number or email address (whichever was used in your invitation)
  2. Enter the password you just created
  3. Click the login button
  4. You'll land on your dashboard with access to your organisation, patients, teams, actions, and handovers
What If Your Link Has Expired?

If your link has expired (more than 24 hours old):

  • You'll see an "Expired link" page with the message: "Your invitation link has expired or has been already used"
  • Click the "Click here to resend a new link" button
  • The system will send you a new invitation email/SMS
  • Check your messages and repeat the process from step 4

If your link is invalid (already used or incorrect):

  • You'll see an "Expired link" page with a link to request a new one
  • Click the link to go to the Forgot Password page
  • Contact your organisation administrator to request a new invitation
Tips
  • Act quickly: Invitation links expire after 24 hours for security reasons
  • Choose a strong password: Your password must be at least 10 characters and should be unique to you. Avoid easily guessable passwords or those exposed in data breaches
  • Check both email and SMS: Depending on what contact details were provided, you might receive the invitation via email, SMS, or both
  • Save your password securely: You'll need it every time you log in to CAREFUL
  • Contact your administrator: If you don't receive an invitation within a few minutes, check your spam folder or contact the person who invited you
  • One-time use: Once you've successfully created your account, the verification link becomes invalid and cannot be used again
What Happens After You Join
  • Your account is marked as verified and active
  • You appear in your organisation's Members list with "ON duty" status (default)
  • Depending on your assigned role, you'll have different permissions:
    • Clinical User: View and manage patients in your teams, create and complete actions, send and receive handovers
    • Team Owner: All clinical user permissions plus manage team members, rename your team, and add patients
    • Administrator: All permissions including inviting new users, editing organisation settings, and managing all teams
