Introduction
When an administrator invites you to join CAREFUL, you'll receive an email or text message with a secure invitation link. This link allows you to create your account by setting a password and accepting the terms of use. Once verified, you can log in and begin using CAREFUL to coordinate patient care.
Before You Start
- Check your email inbox and text messages for the invitation from CAREFUL
- The invitation link is valid for 24 hours from when it was sent
- You'll need to create a password that is at least 10 characters long
- Make sure you have time to read the Careful End User Licence Agreement
No special permissions are required – this process is for new users creating their account.
Steps
- Open the invitation email or text message sent by your organisation administrator
- Click (or tap on mobile) the verification link in the message
- Wait whilst the system validates your invitation token – you'll see a loading spinner briefly
- Once validated, you'll see the "Create account" page with your organisation's region name displayed
- In the Password field, enter your chosen password (minimum 10 characters)
- In the Confirm password field, re-enter the same password
- If the passwords don't match, you'll see a red message: "Passwords must match"
- The Create account button will remain disabled until the passwords match
- Read the two security warnings carefully:
- WARNING 1 explains your legal responsibility to maintain patient confidentiality
- WARNING 2 explains that your activity in CAREFUL is automatically logged and may be audited
- Click the link in the legal notice to read the full Careful End User Licence Agreement (opens in a new window)
- Tick the checkbox labelled "I agree to the terms of use and acknowledge these warnings"
- The Create account button remains disabled until you tick this box
- Click the Create account button
- You'll be redirected to the "Sign up Successful!" page, which displays:
- Information about downloading the CAREFUL mobile app
- Links to the Apple App Store and Google Play
- A countdown showing you'll be redirected to the login page in 10 seconds
- Either wait for the automatic redirect or click "Click here to Login" to go to the login page immediately
- On the login page, enter your email address and the password you just created
- Click Sign In to access CAREFUL
What If Your Link Has Expired?
If your invitation link has expired or been used already, you'll see a page titled "Expired link" with one of these options:
If the link is invalid:
- You'll see: "Your invitation link has expired or has been already used. Please click here to request a new one."
- Click the link to go to the password reset page
- Contact your organisation administrator if you need a fresh invitation
If the link has recently expired:
- You'll see: "Your invitation link has expired or has been already used"
- Click the "Click here to resend a new link." button
- A new invitation will be sent to your email and mobile number
- You'll be redirected to the login page
- Check your email/texts for the new invitation link and repeat the verification process
Tips
- Invitation links expire after 24 hours for security reasons – verify your account promptly when you receive the invitation
- Choose a strong password you'll remember, as you'll need it each time you log in to CAREFUL
- If you don't receive the invitation email, check your spam/junk folder
- Keep your password secure and don't share it with colleagues
- The system validates your password strength automatically – you'll know immediately if it's too short
- If you're having trouble, contact your organisation administrator to resend the invitation
- The password requirements are: minimum 10 characters (no maximum length or complexity rules)
- Once you've created your account, your administrator can set your duty status and assign you to teams
