The User Profile Page

Introduction

The User Profile page displays a user's personal details, contact information, team memberships, and activity history. You can view your own profile to manage your details and settings, or view other users' profiles to see their role and recent activity.

Before You Start

Viewing your own profile: All users can access and edit their own profile.

Viewing other users' profiles: You can view profiles of users who share a team with you. Administrators can view all organisation members' profiles.

Editing profiles: You can only edit your own profile. Administrators can edit any user's profile (name, job title, contact details) but cannot change user roles from the profile page.

How to Access the User Profile Page

There are several ways to reach a user profile:

To view your own profile:

  • Click your profile card at the top of the sidebar (your name, avatar, or duty status), OR
  • Click My Profile in the bottom navigation bar

To view another user's profile:

  • From My OrganizationMembers tab → Click any member row (administrators only), OR
  • From a patient's details page → Click a responsible user's name in the "Responsible users" section, OR
  • From an action's details page → Click the assignee's name, OR
  • From team chat → Click an @mentioned user name
Viewing Your Own Profile
Dashboard Tab

When you first open your profile, you'll see the Dashboard tab (this tab is only visible when viewing your own profile).

The dashboard shows:

  • My Patients — Total number of patients you're responsible for
  • My Actions — Actions assigned to you, split into Due Soon and Overdue
  • Sent HandoversHandovers you've initiated
  • Received Handovers — Handovers awaiting your response
  • Teams table — All your teams with patient counts, action counts, referrals, and messages (if chat is enabled)
Profile Tab

Click the Profile tab to view your personal details:

  • User photo (or default avatar)
  • First name and last name
  • Job title and speciality
  • Cell/Mobile number (with verification status icons)
  • Email address (with verification status icons)
  • Contact/Bleep number
  • Team memberships (as clickable links)

Contact information displays verification status clearly:

  • ✓ Verified
  • Unverified
  • "Pending" status if a change is awaiting verification
Activity Tab

Click the Activity tab to see your audit history:

  • Login events
  • Profile changes
  • Patient care activities
  • Actions completed

Click Load more at the bottom to view older activity.

Editing Your Profile Information
  1. From your profile page, click the kebab menu (three dots) in the top-right corner
  2. Select Edit
  3. The Edit user dialogue box appears with pre-filled fields:
    • First name (required)
    • Last name (required)
    • Job title
    • Speciality
    • Contact / Bleep number
    • User photo (click to upload a new image)
  4. Make your changes
  5. Click Submit

The dialogue closes and your profile refreshes automatically with the updated information.

If there are validation errors (e.g., first name is required), they'll appear below the relevant fields in red text.

Changing Your Password
  1. Click the kebab menuChange password
  2. The Change Password dialogue opens
  3. Enter:
    • Current password
    • New password
    • Confirm Password (must match your new password)
  4. Click Submit

If the passwords don't match, you'll see "Passwords must match" in red below the Confirm Password field. The Submit button is disabled until all three fields are filled.

Changing Your Mobile Number
  1. Click the kebab menuChange Cell/Mobile number (or Add Cell/Mobile number if you haven't set one yet)
  2. The Change Cell/Mobile number dialogue opens
  3. Select your country code from the dropdown (defaults to GB)
  4. Enter your phone number
  5. Click Submit

After submitting:

  • The dialogue closes
  • Your mobile number shows "Pending" status in your profile
  • You receive an SMS with a verification link
  • Your mobile remains marked as "unverified" until you click the link

If the number format is invalid, an error message appears with a red outline around the phone input field.

Cancelling a Pending Mobile Change

If you change your mind before verifying:

  1. Click the kebab menuCancel Pending Cell/Mobile Request
  2. A confirmation dialogue asks: "Are you sure you want to Cancel the Pending Mobile/Cell Change Request?"
  3. Click Yes to cancel, or Cancel to keep the pending change

Your original mobile number is restored.

Resending Mobile Verification

If you didn't receive the SMS or the link expired:

  1. Click the kebab menuResend Mobile number Verification
    • This option only appears if your mobile is set but not verified, and there's no pending change
  2. A confirmation dialogue asks if you want to verify the number
  3. Click Yes

A new verification SMS is sent immediately.

Changing Your Email Address
  1. Click the kebab menuChange Email (or Add Email if you haven't set one yet)
  2. The Change Email dialogue opens
  3. Enter your new email address
  4. Click Submit (blue button)

After submitting:

  • The dialogue closes
  • Your email shows "Pending" status in your profile
  • You receive an email with a verification link
  • Your email remains marked as "unverified" until you click the link

Validation errors (e.g., "Email already in use") appear in the dialogue.

Cancelling a Pending Email Change
  1. Click the kebab menuCancel Pending Email Request
  2. Confirm in the dialogue
  3. Your original email is restored
Resending Email Verification
  1. Click the kebab menuResend Verification Email
    • This option only appears if your email is set but not verified, and there's no pending change
  2. Confirm in the dialogue
  3. A new verification email is sent
Changing Your Language
  1. Click the kebab menuChange language
  2. The Change language dialogue opens with a dropdown
  3. Select your preferred language:
    • 🇬🇧 English (UK)
    • 🇺🇸 English (US)
    • 🇦🇺 English (AU)
    • 🇪🇸 Spanish
    • 🇻🇳 Vietnamese
  4. The interface translates immediately (no Submit button needed)
  5. Close the dialogue

Your language preference is saved in your browser.

Setting Your On-Duty Status

The On-Duty toggle switch appears at the top of your profile page (below the header).

First Time Setting On Duty
  1. Click the On-Duty toggle switch
  2. The Verify contact number dialogue opens automatically
  3. The message reads: "Confirm your contact/bleeper number below. Team members can use this to reach you while On Duty."
  4. Enter or confirm your contact/bleep number
  5. Click Confirm

Your On-Duty status is set and your contact number is saved.

Toggling On/Off Duty After Setup
  1. Click the On-Duty toggle switch to change status
  2. The status changes immediately (no dialogue appears)

Your On-Duty status is visible:

  • In your sidebar profile card
  • To your team members
  • Your contact/bleep number is accessible to team members when you're On Duty
Viewing Another User's Profile (Administrators and Team Members)

When viewing another user's profile, you'll see:

Profile Tab:

  • User's name, job title, speciality
  • Contact information (masked if you're not an administrator)
  • Team memberships

Activity Tab:

  • User's audit history (what actions they've performed, when they logged in, etc.)

If you're an Administrator, you can:

  • Edit the user's profile (click kebab menuEdit)
  • Change their email or mobile number (verification link sent to the user)
  • Toggle their On-Duty status
  • View their User role (shown as disabled/read-only in the Edit user dialogue)

Note: You cannot change a user's role (Staff/Administrator) from the profile page. To promote or demote users, go to My OrganizationMembers tab and use the kebab menu on the member row.

Tips
  • Verification is required: Email and mobile changes don't take effect until you click the verification link sent to the new address/number. Your original contact details remain active until verification completes.
  • Pending changes are visible: If you have a pending email or mobile change, it's clearly marked with a "Pending" label in your profile. You can cancel it at any time before verifying.
  • On-Duty visibility: When you're On Duty, your contact/bleep number is visible to team members so they can reach you. When Off Duty, they can't see it.
  • Audit trail: All changes to your profile (name edits, password changes, contact updates) are logged in the Activity tab. Administrators can see this history too.
  • Dashboard summary: Use the Dashboard tab for a quick overview of your workload — it's the first thing you see when you log in.
  • Team links: In the Profile tab, your team memberships are clickable links. Click a team name to navigate directly to that team's page.
