Pending Contact Change Indicators

Introduction

Pending contact change indicators display when a user has requested to change their email address or mobile number but has not yet verified the new contact details. These indicators help administrators monitor in-flight contact changes and ensure users complete the verification process.

Before You Start

Who can view pending indicators:

  • Administrators can view pending changes for all organisation members
  • Team Owners can view pending changes for their team members
  • All users can view their own pending changes

Where to View Pending Indicators

Pending contact change indicators appear in three locations:

Organisation Members Table
  1. From the sidebar, click My Organization
  2. Click the Members tab
  3. Review the table columns:
    • Contact column: If a user has a pending mobile number change, you'll see their current number followed by (Pending change to XXX****XXX) on a second line
    • Email column: If a user has a pending email change, you'll see their current email followed by (Pending change to XXX****XXX) on a second line

The pending contact information is masked for security, showing only the first three and last three characters with asterisks in between.

Team Members Table
  1. From the sidebar, click Teams to expand the accordion
  2. Click a team name
  3. Click the Members tab
  4. Review the Contact and Email columns for pending change indicators (displayed in the same format as the organisation members table)
User Profile View
  1. Click any user row from a members table
  2. The Profile tab opens automatically
  3. Review the contact fields:
    • Cell / Mobile number: Shows current number, then "Pending change to" followed by the new masked number (if pending)
    • Email: Shows current email, then "Pending change to" on a new line, followed by the new masked email (if pending)
How Pending Changes are Created

A pending change appears when:

  1. An administrator or the user themselves requests a contact change via the kebab menu (⋮) on a user row or profile
  2. The user selects Change Email or Change Cell/Mobile number
  3. A new contact value is entered and submitted
  4. The system sends a verification message to the new contact (email link or SMS code)
  5. Until the user verifies the new contact, the old information remains active and the pending indicator displays
Cancelling Pending Changes (Administrators Only)

If you need to cancel a pending contact change request:

  1. Navigate to My OrganizationMembers tab
  2. Find the user with a pending change indicator
  3. Click the kebab menu (⋮) on their row
  4. Select either:
    • Cancel Pending Cell/Mobile Request (if they have a pending mobile change)
    • Cancel Pending Email Request (if they have a pending email change)
  5. A confirmation dialog appears asking you to confirm the cancellation
  6. Click Confirm

Result: The pending indicator disappears immediately. The user's original contact information remains unchanged, and any verification messages previously sent become invalid.

Understanding the Workflow

What happens during a contact change:

  1. User or admin initiates the change request
  2. System updates the user record with a pendingMobile or pendingEmail value
  3. Verification message is sent (email link or SMS code)
  4. Pending indicator appears in all member tables and the user profile
  5. User clicks the verification link or enters the SMS code
  6. On successful verification:
    • The new contact replaces the old contact
    • The pending indicator disappears
    • The user is logged out and must sign in with their new contact details

Why pending changes are visible:

  • Administrators can track which users have incomplete contact updates
  • Team coordination: colleagues know when a user's contact details are in transition
  • Security: masked display protects sensitive information while providing transparency
  • Compliance: audit trail of contact change requests
Tips
  • Check verification status: If a pending change has been showing for a long time, the user may not have received or acted on their verification message. You can resend verification via the user's kebab menu
  • Masking format: The XXX****XXX format always shows the first 3 and last 3 characters. This provides enough information to verify the change without exposing the full contact details
  • Multiple pending changes: A user can have both a pending email AND a pending mobile change simultaneously
  • No self-cancellation: Users cannot cancel their own pending requests. If they entered the wrong information, they must contact an administrator
  • Unverified users: Users who haven't verified their initial contact details appear with an "***unverified" label in the Role column. This is different from a pending change indicator
