How to Change User Email

Introduction

You can update the email address for your own account or, if you're an Administrator, for any member of your organisation. When an email is changed, a verification link is sent to the new address, and the change only takes effect once the user clicks that link.

Before You Start

To change your own email:

  • No special permissions required

To change another user's email:

  • You must be an Organisation Administrator or Team Owner
Steps
Changing Your Own Email
  1. Click on your profile avatar or name at the top of the sidebar
  2. Your User Profile view loads with three tabs: Dashboard, Profile, and Activity
  3. Click the kebab menu (three dots) in the top-right corner
  4. Select "Change Email" from the dropdown menu (if you don't have an email set, this will say "Add Email")
  5. The "Change Email" dialog box appears
  6. In the "New Email" field, type your new email address
  7. Click the "Submit" button
  8. The dialog closes automatically if the email is valid
  9. Check the inbox for your new email address -- you'll receive a message with subject "CAREFUL: Confirm your email address"
  10. Click the verification link in the email
  11. The verification page appears, showing "Verified successfully" and "Redirecting..."
  12. You'll be automatically logged out after 3 seconds
  13. Log back in using your new email address
Changing Another User's Email (Administrator Only)
  1. From the sidebar, select "My Organization"
  2. Click the "Members" tab
  3. Find the user whose email you want to change in the members table
  4. Click the kebab menu (three dots) on that user's row
  5. Select "Change Email" from the dropdown menu
  6. The "Change Email" dialog box appears
  7. In the "New Email" field, type the new email address
  8. Click the "Submit" button
  9. The dialog closes automatically if the email is valid
  10. A verification email is sent to the new address (the user receives it, not you)
  11. The user must click the verification link to complete the change
  12. Once verified, the user will be logged out and must log in with the new email
Cancelling a Pending Email Change

If an email change has been initiated but not yet verified:

  1. Navigate to your User Profile (click your profile avatar) or to "My Organization""Members" tab
  2. Click the kebab menu (three dots)
  3. Select "Cancel Pending Email Request"
  4. Confirm the cancellation
  5. The pending email is cleared, and the original email remains active
What Happens If There's an Error?

If you enter an invalid email or an email that's already in use, you'll see an error message in the dialog:

  • "This field must be a valid email address" -- the format is incorrect
  • "This Email is already in use" -- another user has this email
  • "This Email is already pending to be changed." -- this email is already waiting verification for another user

The dialog stays open so you can correct the email and try again, or click "Cancel" to close it.

Tips
  • No confirmation message: When you submit the email change, the dialog closes but you won't see a toast notification. This is normal -- just check your email inbox for the verification link
  • Verification required: The email change isn't complete until you click the verification link. Until then, your old email remains active for login
  • Automatic logout: After verifying the new email, you'll be logged out automatically after 3 seconds. You'll need to log in again with the new email address
  • One change at a time: You can only have one pending email change at a time. If you need to change it again, you must either verify the current pending change or cancel it first
  • Admin changes: When an Administrator changes a user's email, the verification link goes to the user, not the admin. The user must complete the verification themselves
