Introduction
As a Team Owner, you can invite people who don't yet have an account in your organization directly to your team. When you search for a user and they don't exist yet, CAREFUL lets you create their account and add them to your team in one seamless workflow.
Before You Start
- You must be a Team Owner for the team you want to add the user to
- You'll need the new user's mobile number to send them an invitation
- The new user will receive an SMS invitation to verify their account
Steps
- From the sidebar, click Teams to expand the accordion, then select your team from the list.
- Click the kebab menu ⋮ in the top right corner.
- Select "Add user to team" from the dropdown menu.
- The "Invite User to Team" dialog appears. Type the person's name in the search field.
- Since they don't exist in the organization yet, no results will appear. Click the "Invite them now" link below the search field.
- The "Create new user" dialog opens with your team already pre-selected.
- Fill in the required fields:
- First Name (required)
- Last Name (required)
- Fill in the optional fields as needed:
- Cell / Mobile Number (use the country code dropdown if needed)
- Job Title
- Speciality
- Under User Role, select their organization-level role (Staff, Admin, or Team Owner).
- Your team is already selected in the team assignment field. Under Team Role, choose whether they should be Staff or Team Owner for your team.
- If you want to invite multiple users in succession, check the "Invite another after save" checkbox.
- Click "Save".
The new user is created and automatically added to your team. They'll appear in your team members list with a "pending" status until they verify their account via the SMS invitation sent to their mobile number.
Tips
- Mobile number is key: While the mobile number field is technically optional in the form, it's essential for sending the SMS invitation that allows the new user to activate their account.
- Email is optional: Unlike many systems, CAREFUL doesn't require an email address to invite users, though it's recommended to provide one.
- Invite multiple users: Use the "Invite another after save" checkbox when you need to invite several people at once. The form will reset after each save, keeping your team pre-selected.
- Team role vs. User role: Remember that User Role (Staff/Admin/Team Owner) is their organization-wide permission level, while Team Role (Staff/Team Owner) is their role within your specific team.
- Already exists?: If you try to invite someone who already has an account, their name will appear in the search results. Just select them, choose their team role, and click Submit instead.
