Viewing All Staff Members in Your Organisation

Introduction

The Members tab in My Organisation displays a complete list of all staff members in your organisation. You can view contact details, roles, duty status, and manage member profiles and permissions from this central location.

Before You Start

For viewing: All organisational users can view the Members tab.

For managing members: You must be an Organisation Administrator to edit other users, change roles, or disable accounts. Staff members can only edit their own profile.

Steps
Accessing the Members Tab
  1. From the sidebar, click My Organization
  2. Click the Members tab

You'll see a table displaying all organisation members with their profile photo, name, contact details, email, and role.

Understanding the Members Table

The table shows:

  • Profile photo – Staff member's photo or default avatar
  • Name – First and last name, job title, and speciality
  • Duty status – Green "On duty" or grey "Off duty" tag
  • Contact – Bleep/contact number and mobile phone (masked for security)
  • Email – Email address (masked for security)
  • Role – "Administrator" or "Staff"
  • Status indicators – Shows "***unverified" if the user hasn't verified their account, or "Account Disabled" if their access has been removed
Searching and Filtering Members

To search by name:

  1. Type into the search box at the top of the Members tab
  2. The table filters automatically as you type
  3. You can search by first name or last name

To view disabled users:

  1. Tick the Show Disabled Users checkbox
  2. Disabled members appear in the table with "Account Disabled" shown in the Role column
  3. Untick the checkbox to hide disabled users again

To sort the table:

  1. Click any column header (Name, Contact, Email, or Role)
  2. First click sorts ascending, second click sorts descending
  3. The table defaults to sorting by last name
Editing a Member's Profile

Who can do this: Administrators can edit any member; staff can edit only their own profile.

  1. Click the kebab menu (three dots) on the member's row
  2. Select Edit
  3. The Edit User dialog opens with pre-filled information
  4. Update any of the following:
    • First name and last name
    • Job title and speciality
    • Contact/Bleep number
    • Profile photo (click to upload a new image)
    • User role (only when editing another user's profile, not your own)
  5. Click Submit to save changes

The dialog closes and the member list updates with the new information.

Changing a Member's Duty Status

Who can do this: Administrators can change any member's duty status; staff can change only their own.

Note: The member must have verified their mobile or email before duty status can be changed.

  1. Click the kebab menu on the member's row
  2. Select Set to OFF duty (if currently on duty) or Set to ON duty (if currently off duty)
  3. The duty status updates immediately

Members who are off duty won't receive handover requests and colleagues will know they're unavailable.

Promoting or Demoting an Administrator

Who can do this: Organisation Administrators only.

Important: This action requires OTP verification for security.

  1. Click the kebab menu on the member's row
  2. Select:
    • Promote to Organization Admin (if the member is currently Staff)
    • Demote from Organization Admin (if the member is currently an Administrator)
  3. A confirmation dialog appears showing the member's name and new role
  4. Click Yes to proceed
  5. You'll receive an OTP verification code via SMS and email
  6. Enter the code you received
  7. Click the verify button

The member's role updates in the table. Promoted users gain full administrator privileges; demoted users return to standard staff permissions.

Changing Contact Information

Who can do this: Administrators can change any member's contact details; staff can change only their own.

To change email:

  1. Click the kebab menu on the member's row
  2. Select Change Email
  3. Enter the new email address
  4. Click Submit
  5. The member's row shows "(Pending change to [new email])"
  6. The user must click the verification link sent to their new email address
  7. Once verified, the email updates and the pending message disappears

To change mobile number:

  1. Click the kebab menu on the member's row
  2. Select Change Cell/Mobile number
  3. Select the country code and enter the new mobile number
  4. Click Submit
  5. The member's row shows "(Pending change to [new number])"
  6. The user must enter the verification code sent via SMS
  7. Once verified, the mobile number updates and the pending message disappears

To cancel a pending change (Administrators only):

  1. Click the kebab menu on a member with a pending change
  2. Select Cancel Pending Cell/Mobile Request or Cancel Pending Email Request
  3. Click Yes in the confirmation dialog
  4. The pending change is removed immediately
Disabling a User Account

Who can do this: Organisation Administrators only.

Note: You cannot disable your own account.

  1. Click the kebab menu on the member's row
  2. Select Disable user
  3. A confirmation dialog appears: "Please confirm that you wish to disable this user. They will no longer have access to the system"
  4. Click Disable user

The member's account is disabled immediately. Their row shows "Account Disabled" in the Role column and they cannot log in. Disabled members are hidden by default unless you tick "Show Disabled Users".

To re-enable a disabled user:

  1. Tick Show Disabled Users to view disabled members
  2. Click the kebab menu on the disabled member's row
  3. Select Enable user
  4. The member can now log in again
Managing Unverified Members

Who can do this: Organisation Administrators only.

Unverified members show "***unverified" in the Role column. These users have been invited but haven't verified their mobile or email yet.

To resend an invitation:

  1. Click the kebab menu on the unverified member's row
  2. Select Resend invitation
  3. A new verification SMS or email is sent immediately

To cancel an invitation:

  1. Click the kebab menu on the unverified member's row
  2. Select Cancel invitation
  3. The invitation is cancelled and the member account is removed
Tips
  • Use the search box to quickly find members in large organisations instead of scrolling through the entire list
  • Check pending changes – If you see "(Pending change to...)" in the Contact or Email column, the user has requested a change but hasn't verified it yet
  • Duty status matters for handovers – Staff who are off duty won't receive handover requests, so remember to set yourself back on duty when you return
  • Disabled users are hidden by default – If you can't find a user, tick "Show Disabled Users" to check if their account has been disabled
  • Profile photos help with identification – Encourage staff to upload profile photos so colleagues can quickly identify who's responsible for patients
