Introduction
Setting a team member off duty indicates they are not currently available for clinical work. When a user is marked as off duty, colleagues can see their unavailability, and the system will not assign them new handover requests. This helps manage workload distribution and ensures patients are assigned to available clinicians.
Before You Start
Permissions required:
- You must be an Organisation Administrator to set other team members off duty
- Any verified user can set themselves off duty
Prerequisites:
- The team member must have verified their mobile number (unverified users cannot have their duty status changed)
- The team member must currently be marked as "on duty" to set them off duty
Steps
For Administrators setting another user off duty:
- From the sidebar, click My Organization
- Click the Members tab (the third tab along the top)
- Locate the team member you want to set off duty (you can use the search box at the top to find them quickly)
- Click the kebab menu icon (⋮) on the right side of their row
- Click Set to OFF duty from the dropdown menu
- The change takes effect immediately — no confirmation dialogue appears
- The member's row updates to show their new off-duty status, and the menu option changes to "Set to ON duty"
For users setting themselves off duty:
You can set your own duty status in two ways:
Option 1: Via My Organization
- From the sidebar, click My Organization
- Click the Members tab
- Find your own name in the members list
- Click the kebab menu (⋮) on your row
- Click Set to OFF duty
Option 2: Via Your Profile
- Click on your profile (top-right corner)
- Navigate to your user profile page
- Use the On duty / Off duty toggle switch at the top of the page
- Slide the toggle to the "Off duty" position
What Happens When Off Duty
When a team member is set off duty:
- Their status is visible to all colleagues in the organisation
- They will not receive new handover requests
- Their existing patient responsibilities remain unchanged (they should hand over patients before going off duty)
- The system records the duty status change in the audit log
Tips
- Hand over patients first: Before going off duty, ensure you've handed over responsibility for all your patients to available colleagues
- Multiple access points: Administrators can set users off duty from the Members tab, whilst users can set themselves off duty from either the Members tab or their own profile page
- Immediate effect: The duty status change happens instantly with no confirmation dialogue — the action cannot be undone, but you can immediately set the user back to "on duty" if needed
- Search for users: In large organisations, use the search box at the top of the Members tab to quickly find the team member you need
- Verification required: Only users who have verified their mobile number can have their duty status changed — unverified users will not see this option
