Introduction
When you need to transfer responsibility for all your patients within a specific team to another clinician, use the team handover feature. This is particularly useful during shift changes or when going off duty, allowing you to hand over all patients in one action rather than individually.
Before You Start
Steps
- From the sidebar, click Teams to expand the teams accordion
- Click on the name of the team containing the patients you want to hand over
- Click the kebab menu (⋮) in the top-right area of the team screen
- Select Handover all my patients in this team from the dropdown menu
- A dialog box appears with the title "Submit handover request for all my patients in [team name]"
- In the search field, start typing the name of the clinician you want to hand over to
- The placeholder text reads "Start typing a name of assignee to search..."
- Only team members who can accept handovers will appear in the results
- Click on the clinician's name from the search results
- Their profile appears showing their name, role, and photo
- Review the information text: "You are about to handover all of your patients within this team. This will send a request to the user you select below and if they accept, responsibility along with all outstanding actions will be assigned to them."
- Click the Send handover request button
What Happens Next
- The system validates that all patients can be handed over
- If successful, the dialog closes and your handover request is sent immediately
- The receiving clinician receives a notification (if they are on duty)
- Your request appears in the Sent tab of the Handovers screen
- The request appears in the receiving clinician's Received tab on their Handovers screen
- They must accept the handover for the transfer to complete
- If they accept, all patient responsibility and outstanding actions are transferred to them
Common Issues
Error: "You cannot handover all patients in this team because the following patients have outstanding handover requests"
- One or more of your patients already has a pending handover request
- The error message lists which patients are blocking the handover
- You'll need to cancel the existing handover requests first, or hand over patients individually
Error: "You cannot handover all patients in this team because you are not responsible for them"
- You must be the responsible clinician for patients before you can hand them over
- Take responsibility for the patients first, then try the handover again
The person I need isn't appearing in the search results
- They may not be a member of this team
- They may be marked as off duty (off-duty users cannot receive handover requests)
- Contact your Team Owner or Administrator if someone needs to be added to the team
Tips
- Check the Handovers screen (Sent tab) to monitor the status of your request
- If the receiving clinician doesn't respond, you can cancel the request from the Sent tab and send it to someone else
- If you only need to hand over specific patients rather than all of them, use the individual patient handover feature instead (available from each patient's profile)
- Consider using this feature before going off duty to ensure all your patients have cover
