Introduction
The force handover feature allows team owners and team members to take immediate responsibility for all patients currently assigned to another team member. This is used in urgent situations when a colleague is unavailable and their patients need immediate reassignment.
Before You Start
- You must be a Team Owner or Team Member (standard member) of the team
- The target user must be a verified member of the same team
- You cannot force-take patients from yourself
- The target user must not have more than the maximum allowed number of patients
Steps
-
From the sidebar, click Teams
-
Select the team containing the member whose patients you need to take
-
Click the Members tab to view the team members list
-
Locate the team member whose patients you need to take responsibility for
-
Click the kebab menu (⋮) on that member's row
-
Select Take all users patients from the dropdown menu
-
A dialogue box titled "Force take Users Patients" appears with a confirmation message: "Please confirm that you wish to take responsibility for all patients in this team"
-
Review the confirmation message carefully
-
Click the Take Responsibility button to confirm
-
The dialogue closes automatically and the team member list refreshes
What happens:
- You immediately become the responsible clinician for all patients that team member was responsible for in this team
- All actions assigned to that team member for those patients are reassigned to you
- The patient handover is logged in the audit trail
- The team member is no longer responsible for those patients
If an error occurs:
- Error messages appear in red text within the dialogue box
- A Cancel button appears to close the dialogue
- Common errors include permission issues or if the target user has too many patients to transfer at once
Tips
-
Use sparingly – This is a forceful action that bypasses the normal handover workflow. It should only be used in urgent situations when the other team member is unavailable to hand over patients themselves
-
Check patient count – If you see an error about too many patients, the system has a limit on mass handovers. You'll need to ask the team member to hand over patients individually until they're below the limit, or accept individual handover requests
-
Verify the right person – Double-check you've selected the correct team member before confirming. Taking all their patients is immediate and cannot be undone with a single action
-
Communication – Even though this is a "force" action, it's good practice to inform the team member afterwards about what happened and why
-
Team scope – This action only affects patients within the selected team. If the team member is responsible for patients in other teams, those responsibilities are not affected
