How to Accept a Referral

Introduction

When another team refers a patient to your team, you'll receive a referral request that you can accept or reject. Accepting a referral adds the patient to your team's patient list, allowing your team members to view their details and provide care.

Before You Start
  • You must be a member of the team receiving the referral, or an Organisation Administrator
  • The referring team must have already submitted the referral request
  • You'll see a badge count on your team name in the sidebar if there are pending referrals
Steps
  1. From the sidebar, click on the team name that has received the referral. If there are pending referrals, you'll see a number badge next to the team name.

  2. Click the Referrals tab. This tab also displays a count badge showing the number of pending referrals.

  3. The Referrals received section appears at the top of the page, showing a table with all pending referrals for this team.

  4. Review the referral information in the table:

    • Patient: The patient's name (you can click this to view their profile if you already have access)
    • Source team: The team that sent the referral (clickable link)
    • Note: Any message or clinical information provided by the referring team
    • Attachments: If the referring team included files, you'll see a count badge and a view button to open them
  5. Click the green Accept button in the Actions column for the referral you wish to accept.

  6. The button displays a loading spinner whilst the system processes your request. Both the Accept and Reject buttons are disabled during this time.

  7. Once accepted, the referral disappears from the Referrals received table, and the badge counts on both the sidebar team link and the Referrals tab decrease automatically.

  8. The patient now appears in your team's Patients tab. Team members can view the patient's details, take responsibility, create actions, and provide care.

If an error occurs (for example, if you don't have permission or the referral was already processed), a Referral Error dialogue box appears with details. Click Close to dismiss the error and try again if needed.

Tips
  • The badge count on your team name in the sidebar provides a quick way to see if you have pending referrals without navigating to the team
  • You can view any attachments before accepting the referral by clicking the view button in the Attachments column
  • Click the source team name to see details about the team that sent the referral
  • Click the patient name to view their profile (if you already have access through another shared team)
  • If you receive a referral in error, use the Reject button instead of accepting
  • After accepting a referral, you may want to assign a responsible clinician from your team to the patient
  • Check the Referrals sent section (below Referrals received) to see referrals your team has sent to other teams
