How to Handover All My Patients

Introduction

When you need to transfer responsibility for all your patients to another clinician—such as at the end of your shift, going on leave, or reassigning your caseload—you can use the bulk handover feature. This sends a single handover request that transfers all your patients and their outstanding actions to a colleague, who must accept the request for the handover to complete.

Before You Start

  • You must have responsibility for at least one patient
  • You must be on the My Patients view to access this feature
  • The system will check which patients can be handed over to your chosen colleague before proceeding
  • Some patients may be blocked from handover (e.g., if they're already assigned to the target user or have specific restrictions)

Steps

  1. From the sidebar, click My Patients to view your patient list.

  2. In the top navigation bar, click the dropdown menu button and select Handover all patients (indicated with a pencil icon).

  3. The Handover all patients dialog appears with the message "You are about to handover all of your patients."

  4. In the search field, start typing the name of the colleague you want to handover to. The placeholder text reads "Start typing a name of assignee to search..."

  5. Select your colleague from the autocomplete suggestions that appear.

  6. Wait while the system performs a preflight check. This validates which of your patients can be handed over to your chosen colleague.

  7. Review the preflight results:

    • All patients can be handed over: You'll see checkmarks next to all patients with the message "Everything looks good. Click submit to send a handover request for all [X] of your patients"
    • Some patients blocked: A table appears showing blocked patients with their names, status, and reasons. You can proceed with handing over the remaining valid patients if you wish.
    • All patients blocked: The table shows all patients are blocked, and the Submit button is disabled. You'll need to choose a different colleague.
  8. Review the blocking reasons if any appear (such as "Patient already assigned to this user" or "User lacks permissions for this team").

  9. Click the Submit button to send the handover request.

  10. The dialog closes, and your handover request is sent to your colleague. They will receive a notification and must accept the request for the handover to complete.

Tips

  • Preflight checks are automatic: As soon as you select a colleague, the system immediately checks which patients can be handed over. This prevents you from submitting invalid handover requests.

  • Partial handovers are allowed: If some patients are blocked, you can still proceed with handing over the remaining patients. The blocked patients will remain under your responsibility.

  • Request-based process: Unlike individual patient handovers, bulk handovers always require acceptance from the receiving clinician. They can review the full patient list before accepting.

  • Team-specific alternative: If you only want to handover patients from one specific team, use the Handover all my patients in this team option instead, available from the team view.

  • Outstanding actions transfer: All incomplete actions associated with your patients will automatically transfer to the new responsible clinician when they accept the handover.
