Introduction
The Actions tab shows all outstanding tasks for patients in your team or organization. You can view action status, due dates, assigned staff, and quickly complete, reassign, or update actions directly from the table.
Before You Start
- For Team Actions: You must be a member of the team to view its actions
- For Organization Actions: You must be an Organization Administrator
- No additional setup is required
Steps
Accessing Team Actions
- From the sidebar, select My Teams
- Click on the team you want to view
- Click the Actions tab at the top of the screen
- The badge on the Actions tab shows the number of overdue actions for quick reference
Understanding the Actions Table
The table displays eight columns of information:
- Status: Color-coded badges show if actions are "Open", "Soon" (due within 24 hours), "Overdue", or "Closed"
- Profile Image: Patient's gender icon with age badge
- Patient: Patient name with demographics (gender, date of birth, medical record number, national ID)
- Title: The action's name or description
- Location: Patient's current location as a colored badge
- Assigned to: Staff member's name with their job title and specialty
- Due: Due date and time with relative timing (e.g., "5 hours from now" or "3 hours overdue")
- Actions: Quick action buttons for managing the action
Sorting and Navigating Actions
- Click any column header (Patient, Title, Location, Assigned to, or Due) to sort by that column
- Click the same header again to toggle between ascending and descending order
- An arrow icon shows the current sort direction
- Use the PREV and NEXT buttons at the bottom to navigate between pages (shown as "-" on mobile)
- Click page numbers to jump to a specific page
- Your sort and page preferences are automatically saved for the next time you view this team's actions
Quick Close an Action
- Locate the checkmark icon button in the rightmost column
- Click the checkmark icon
- The button changes to Click to Complete
- Click Click to Complete again to immediately close the action
- The table refreshes and the action status updates to "Closed"
- Note: If you don't click within 2 seconds, the confirmation button reverts to the checkmark icon
Complete Action with Details
- Click the three-dot menu button in the Actions column
- Select Complete Action from the dropdown menu
- The Close Action Dialog appears
- Fill in the closure details including outcome, notes, and any attachments
- Click Submit
- The table refreshes with the updated action status
Reassign an Action
- Click the three-dot menu button in the Actions column
- Select Reassign Action from the dropdown menu
- The Reassign Action Dialog appears
- Select the new team member to assign the action to
- Click Submit
- The table refreshes showing the new assignee in the "Assigned to" column
Update Action Progress
- Click the three-dot menu button in the Actions column
- Select Update Progress from the dropdown menu
- The Add Note to Action Dialog appears
- Enter your progress notes in the text field
- Click Submit
- The note is added to the action's history
View Full Action Details
- Click anywhere on an action row (except the Actions column buttons)
- You'll navigate to the full action details page
- Here you can view complete history, all notes, attachments, and additional details
Tips
- Default Sorting: Actions are automatically sorted by due date (earliest first) when you first open the tab, helping you prioritize urgent tasks
- Status Colors: Use the color-coded status badges to quickly identify overdue (red) and soon-due (orange) actions that need immediate attention
- Quick Close vs Complete Action: Use the checkmark button for simple actions that don't need detailed closure notes. Use "Complete Action" from the dropdown menu when you need to document outcomes or add attachments
- Mobile View: On mobile devices, column headers are hidden and patient information is displayed in a card-like format for easier reading
- Empty State: If you see "This team does not have any actions associated with it", the team currently has no outstanding actions
- Access Denied: If you see "You do not have permission to view the actions of this team", you need to be added as a team member first
