Organizational Actions Tab

Introduction

The Organizational Actions Tab provides organization administrators with a centralized view of all patient actions across the entire organization. This allows you to monitor workload, track overdue actions, and manage action assignments from a single location.

Before You Start

  • You must be an Organization Administrator to access this feature
  • This tab is only visible when viewing your organization (not available to Team Owners or standard staff members)

Steps

Accessing the Actions Tab

  1. From the sidebar, click My Organization
  2. Click the Actions tab at the top of the page
  3. The tab displays a badge showing the count of overdue actions (if any)

You'll see a table listing all actions across your organization, with columns for Status, Patient, Title, Location, Assigned to, and Due date.

Viewing and Sorting Actions

  1. Status badges indicate action urgency:

    • Red "Overdue" - Action is past its due date
    • Yellow "Soon" - Action is due within 24 hours
    • Green "Open" - Action has a normal status
    • Grey "Closed" - Action has been completed
  2. Click any column header to sort the table (Patient, Title, Location, Assigned to, or Due)

  3. The table displays 50 actions per page with pagination controls at the bottom

  4. Your sort preferences are saved automatically for your next visit

Quick Completing an Action

  1. Click the checkmark icon on the right side of any action row
  2. The button changes to "Click to Complete" with a green background
  3. Click the green button again to confirm
  4. A spinner appears while the action is being completed
  5. The action is marked as closed and may disappear from the list (depending on your filter settings)

This method completes the action immediately without requiring a result description or attachments.

Completing an Action with Details

  1. Click the three-dot menu (⋮) on the right side of the action row
  2. Select "Complete Action" from the dropdown menu
  3. A dialog box appears titled "Complete action [ACTION NAME] for patient [FIRSTNAME LASTNAME]"
  4. Enter details in the "Action result" field (optional, multi-line text)
  5. Add attachments if needed by clicking the file upload area
  6. Click "Submit" to complete the action

The action is marked as closed and the result is saved to the action history.

Reassigning an Action

  1. Click the three-dot menu (⋮) on the action row
  2. Select "Reassign Action" from the dropdown menu
  3. A dialog box appears titled "Reassign action [ACTION NAME] for patient [FIRSTNAME LASTNAME]"
  4. In the "New assignee" field, start typing a team member's name
  5. Select the appropriate user from the autocomplete dropdown
    • Invalid users are shown with a reason in parentheses (e.g., "not in team") and cannot be selected
  6. Click "Submit" to reassign the action (the button is disabled until you select a user)

The action is immediately reassigned to the selected user.

Updating Action Progress

  1. Click the three-dot menu (⋮) on the action row
  2. Select "Update Progress" from the dropdown menu
  3. A dialog box appears showing any "Previous updates" (if the action has progress notes)
  4. Enter your update in the "New update" field (required, multi-line text)
  5. Add attachments if needed using the file upload area
  6. Click "Submit" to save the progress note (disabled until you enter text)

The progress note is added to the action and visible to all team members who can view the action.

Viewing Full Action Details

  1. Click anywhere on an action row (except the checkmark icon or three-dot menu)
  2. You'll be taken to the full action detail page showing complete history, notes, and attachments

Tips

  • Overdue count badge: The Actions tab displays a red badge with the number of overdue actions, making it easy to prioritize urgent work
  • Patient information: Each row displays comprehensive patient details including gender, date of birth, medical record number, and national ID number
  • Quick access: The quick complete feature is ideal for simple actions that don't require detailed results or documentation
  • Sort persistence: Your preferred sort order is saved per column, so the table displays the same way each time you visit
  • Time indicators: Open actions show how long until they're due (e.g., "2 hours from now") or how long they've been overdue (e.g., "3 hours overdue")
  • Team Actions Tab - View actions specific to a single team
  • My Actions - View actions assigned to you personally
  • Patient Actions - View all actions for a specific patient
