Introduction
You can attach files (such as documents, images, or PDFs) to actions at three different stages: when creating a new action, when updating progress on an existing action, or when completing an action. Attachments help you keep important documentation connected to patient care tasks.
Before You Start
- You must have permission to create or update actions (standard Clinical User role or higher)
- Ensure you have the file you want to upload saved on your device
- Files must have a valid file extension (the system validates file types automatically)
- No special setup required
Steps
To attach a file when creating a new action:
- Navigate to the patient profile for whom you need to create an action
- Click the action menu (⋮) in the top right corner and select Create action
- A dialog appears titled "Create new action for patient [Patient Name]"
- Fill in the required fields: Title (the action description) and Assignee (who should complete it)
- Scroll down to the Optional Information section
- Under the Attachments label, click the Choose File button
- Select your file from the file picker dialog
- Wait for the upload to complete - the button will show a loading state during upload
- Your file appears in the attachments list with a file icon and filename
- If you need to remove the attachment, click the trash bin icon next to it
- Complete any other optional fields (Due date, Due time, Detailed Description)
- Click Submit to create the action with the attachment
To attach a file when updating action progress:
- Open the action you want to update from your actions list
- Click to update progress on the action
- A dialog appears titled "Update progress on action [Action Name] for patient [Patient Name]"
- The dialog shows any Previous updates from other team members
- Enter your progress note in the New update field (required)
- Under the Attachments label, click the Choose File button
- Select your file from the file picker dialog
- Wait for the upload to complete - the button will show a loading state
- Your file appears in the attachments list with a file icon and filename
- If you need to remove the attachment, click the trash bin icon next to it
- Click Submit to add your progress note with the attachment
To attach a file when completing an action:
- Open the action you want to complete from your actions list
- Click to complete or close the action
- A dialog appears titled "Complete action [Action Name] for patient [Patient Name]"
- Enter the outcome or result in the Action result field
- Under the Attachments label, click the Choose File button
- Select your file from the file picker dialog
- Wait for the upload to complete - the button will show a loading state
- Your file appears in the attachments list with a file icon and filename
- If you need to remove the attachment, click the trash bin icon next to it
- Click Submit to close the action with the attachment
Tips
- Multiple attachments: You can upload multiple files by clicking Choose File again after each upload completes
- Supported file types: Most common file formats are supported (PDF, images, Word documents, Excel spreadsheets, etc.). If you see an "Error: Unsupported file Extension" message, try converting your file to a standard format
- Upload in progress: The Submit button is automatically disabled while files are uploading to prevent accidental form submission
- Remove before submit: You can remove any uploaded attachment before submitting the form by clicking the trash bin icon - this won't delete previously saved attachments, only removes attachments you just added
- File visibility: All team members who can view the action can see and download attached files
- Viewing attachments: After submission, you can view all attachments from the action detail page, organized by when they were added (creation, progress updates, or completion)
