Introduction
Updating patient demographics allows you to keep patient information current, including contact details, identification numbers, and personal information. This ensures accurate patient records and effective communication with patients and their families.
Before You Start
- You must have edit permissions for the patient
- The patient must already exist in the system
- Navigate to the patient's profile page
Steps
-
From the patient's profile page, locate the Edit Demographics button in the patient actions menu (top-right area with a pencil icon)
-
Click Edit Demographics
- A dialog box appears titled "Edit patient [FirstName] [LASTNAME]"
- All fields are pre-populated with the patient's current information
-
Update any of the following fields as needed:
- First Name * (required)
- Last Name * (required)
- Date of birth (separate dropdowns for day, month, and year)
- Gender (select from: Male, Female, or Other)
- Nat.ID (National ID or NHS Number in UK)
- Medical Record Number (Hospital Number)
- Email (must be valid email format)
- Cell / Mobile number
-
Review your changes to ensure accuracy
- Required fields are marked with an asterisk (*)
- If you enter a partial date of birth, you must complete all parts (day, month, year)
- Email addresses are automatically validated for correct format
-
Click the Submit button
- The button will show a loading state while saving
- The dialog closes automatically when the update succeeds
- Updated information appears immediately in the patient header
-
To cancel without saving, click the close button (X) in the top-right corner of the dialog
Tips
- Date of birth validation: If you start entering a date of birth, you must complete all three parts (day, month, year). Partial dates will show the error message: "Please fill in all the parts of the date."
- Email validation: The system automatically checks that email addresses are in the correct format before allowing submission
- No confirmation message: When demographics are successfully updated, the dialog simply closes. Check the patient header to verify your changes were saved
- All fields optional except name: Only First Name and Last Name are required. You can leave other fields blank if the information is not available
- Automatic data refresh: After saving, the system automatically updates all related patient information, including the audit log
