Introduction
The Force Handover feature allows team owners and standard team members to immediately take responsibility for all patients assigned to another team member. This is useful in urgent situations where a colleague is unavailable and their patients need immediate reassignment, or when redistributing workload within a team.
Before You Start
Required Permissions:
- You must be a Team Owner or Standard Team Member of the team
- The user whose patients you're taking must be a verified team member
- The target user cannot have more than the maximum patient limit assigned to them
Important Notes:
- You cannot force take patients from yourself
- This action takes ALL patients the user has in this specific team
- All open actions assigned to those patients will also be reassigned to you
- This creates an audit trail showing who forced the handover and when
Steps
-
From the sidebar, click My Teams to view your teams list
-
Click on the team containing the member whose patients you need to take
-
Click the Members tab to view all team members
-
Locate the verified team member whose patients you need to take responsibility for
-
Click the action menu (⋮) next to their name in the members table
-
From the dropdown menu, click "Take all users patients" (shown with a list icon)
-
A dialog box appears titled "Force take Users Patients" with the confirmation message: "Please confirm that you wish to take responsibility for all patients in this team"
-
Review the confirmation message carefully, then click the "Take Responsibility" button to proceed (or click "Cancel" to abort)
-
The dialog closes automatically and the team data refreshes to show you as the responsible clinician for those patients
-
All patients previously assigned to that team member are now assigned to you, and all their associated actions are reassigned to you as well
Tips
When to Use This Feature:
- A colleague has unexpectedly left their shift and patients need immediate coverage
- Redistributing patient load when a team member goes on leave
- Emergency situations requiring immediate patient reassignment
Patient Limit Warning: If the user has more than the maximum allowed patients (typically 100), you'll see an error message: "You can handover a maximum of 100 patients at a time. Currently the user has [count] patients assigned." In this case, you'll need to use individual patient handovers until they fall below the limit.
Difference from Regular Handover:
- Regular handover requires the other person to accept
- Force handover happens immediately without acceptance
- Force handover is logged differently in the audit trail
After Force Handover:
- Check the patient list to verify all patients transferred correctly
- Review any urgent actions that may have been transferred
- Consider communicating with the original assignee about the handover
