Introduction
Setting a team member on duty makes them available to receive handovers and indicates their availability to the rest of the team. When a team member is off duty, they won't receive handover requests and colleagues can see they're unavailable.
Before You Start
- Permissions required: You must be a Team Owner, Organization Administrator, or System Administrator to set other team members' duty status. All users can set their own duty status.
- Verification required: The team member must have verified their mobile number or email address before their duty status can be changed.
Steps
Method 1: From the Team Members Table (Most Common)
- From the sidebar, select My Teams
- Click on the team name to view team details
- Click the Members tab to see the list of team members
- Locate the team member whose duty status you want to change
- Click the three-dot action menu (⋮) next to their name
- Select either:
- Set to ON duty (with enter icon) if they're currently off duty
- Set to OFF duty (with exit icon) if they're currently on duty
- The duty status badge updates immediately to show On duty or Off duty
Method 2: From Organization Management (Administrators Only)
- From the sidebar, select Admin
- Click Manage Organization
- Locate the organization member in the list
- Click the three-dot action menu (⋮) next to their name
- Select Set to ON duty or Set to OFF duty
- The status updates immediately
Method 3: Setting Your Own Status
Option A: From Your Profile
- Click your profile picture or name in the top right corner
- Find the duty status toggle switch
- Click the toggle to change between on duty and off duty
Option B: When Logging Out
- Go to Settings from the sidebar
- Ensure the checkbox Also set me to off duty when I log out is checked (it's checked by default)
- Click Log Out
- You'll be logged out and automatically set to off duty
Option C: When Logging In
- After successfully logging in, you may see a prompt asking about your duty status
- Click Yes, set me on duty to be available, or No, keep me off duty to remain unavailable
Tips
- Team members with an Off duty status badge appear with reduced opacity (40%) to make them visually distinct
- The duty status affects mobile notification delivery - off-duty team members won't receive certain notifications
- By default, CAREFUL automatically sets you to off duty when you log out, helping prevent missed handovers when you're not working
- Only verified users (with confirmed mobile or email) can have their duty status changed
- All duty status changes are recorded in the audit log for compliance tracking
