Introduction
Setting a team member off duty marks them as unavailable in the system, preventing them from receiving handover requests and signaling to other staff that they are not currently working. This is essential for managing team availability and ensuring handovers are directed to active staff members.
Before You Start
Permissions required:
- To set another team member off duty: You must be a Team Owner, Organization Admin, or System Admin
- To set yourself off duty: Any verified team member can do this
Verification required:
- The team member must have verified their mobile phone number OR email address
- Unverified users cannot change duty status
Steps
Method 1: From the Team Members View
- From the sidebar, click My Teams
- Select the team containing the member you want to set off duty
- Click the Members tab
- Locate the team member in the members table - you'll see their current duty status badge showing "On duty" (displayed with positive green styling) beneath their name
- Click the actions menu (three dots ⋮) on the right side of their row
- Click "Set to OFF duty" (shown with an exit icon)
- The duty status badge immediately updates to "Off duty" (displayed with reduced opacity)
The system automatically refreshes the team data to reflect the change across all views.
Method 2: From Organization Management (Admin Only)
- From the sidebar, click Admin
- Select Manage Organization
- Locate the team member in the organization members table
- View their current duty status badge showing "On duty"
- Click the actions menu (⋮) for that member
- Click "Set to OFF duty"
- The status updates immediately to "Off duty"
Method 3: Set Yourself Off Duty When Logging Out
- From the sidebar, click Settings
- You'll see a checkbox labeled "Also set me to off duty when I log out" (this is checked by default)
- Ensure the checkbox is checked
- Click "Log Out"
- You will be logged out AND your duty status will be set to off duty
Note: This checkbox defaults to ON for your convenience. If you want to remain on duty after logging out, uncheck this box before clicking Log Out.
Tips
- Quick identification: The duty status badge is always visible beneath each team member's name, making it easy to see who is currently available
- Automatic logout: The "set off duty on logout" feature is enabled by default, helping ensure you don't forget to update your status when leaving work
- Setting back on duty: To reverse this action, follow the same steps but click "Set to ON duty" (shown with an enter icon) instead
- Verification requirement: If you don't see the duty toggle option, the team member may need to verify their phone number or email address first
- Permission check: Standard team members can only manage their own duty status - they cannot change other members' status
