How to Resend a User Invitation

Introduction

When a new user is invited to CAREFUL or when their contact details are changed, they receive an invitation link via email or SMS. These links expire for security reasons. If a user's invitation has expired or hasn't been verified, you can resend it so they can complete their registration and access the platform.

Before You Start

For Admins/Team Owners resending invitations:

  • You must be an Organization Administrator, Team Owner, or System User
  • The user must be unverified (they haven't completed their registration yet)

For users with expired links:

  • No special permissions required - you can resend your own invitation

Steps

For Admins/Team Owners to Resend an Invitation:

  1. From the sidebar, navigate to either My Teams (for team members) or the Organisation Users tab (for organization-wide access)
  2. Locate the unverified user in the member table - they'll be marked with a visual indicator showing "**unverified" next to their team role
  3. Click the action menu (three dots ⋮) on the right side of the user's row
  4. Select Resend invitation from the dropdown menu
  5. The invitation is sent immediately - no confirmation dialog appears
  6. The user receives a new invitation link via their registered email or mobile number
  7. The member list automatically refreshes to reflect the updated status

For Users with Expired Invitation Links:

  1. Click on your original invitation link from the email or SMS you received
  2. If the link has expired, you'll see a page with the heading "Expired link" and the message "Your invitation link has expired or has been already used"
  3. Click the button labeled "Click here to resend a new link."
  4. Wait a moment while the system validates your request with reCAPTCHA (this happens automatically in the background)
  5. Once processed, you'll be redirected to the login page
  6. Check your email or mobile for the new invitation link
  7. Click the new link to access the registration page where you can create your password and complete your account setup

Tips

  • Invitation links expire within 15 minutes for security purposes, so advise users to complete registration promptly
  • If you need to cancel an invitation instead of resending it, select Cancel invitation from the same action menu
  • Unverified users are easy to spot in the member table - they appear with a different visual style and show "**unverified" in their team role
  • Only Organization Admins, Team Owners, and System Users can resend invitations on behalf of others
  • The resend action happens immediately without a confirmation prompt, so make sure you're selecting the correct user
  • Users can resend their own expired invitation links without needing to contact an administrator
