How to get access to CAREFUL for the first time

Introduction

First-time access to CAREFUL is granted through a secure SMS invitation sent by your organization administrator or team owner. This process ensures only authorized healthcare professionals can access patient data while establishing your account with proper security and legal acknowledgments.

Before You Start

No special permissions are required. You simply need:

• A mobile phone capable of receiving SMS messages
• An invitation sent by an organization administrator or team owner
• Approximately 10 minutes to complete the account setup process

Steps

1. Receive your SMS invitation
   You will receive an SMS message from CAREFUL containing a unique invitation link. This link is personalized to you and expires after 15 minutes for security reasons.

2. Click the invitation link
   Tap or click the link in your SMS message. This will open the CAREFUL account creation page in your web browser.

3. Wait for automatic link validation
   CAREFUL will automatically verify your invitation link. You'll see a loading spinner briefly while this validation happens. Once validated, the account creation form will appear.

4. Create your password
   On the "Create account" page, you'll see two password fields:

   • Enter your desired password in the Password field
   • Re-enter the same password in the Confirm password field

   Your password must be at least 10 characters long. CAREFUL automatically checks all passwords against a database of over 1 billion compromised passwords to ensure your account security. If the passwords don't match, you'll see a red error message saying "Passwords must match."

5. Read the legal warnings
   Two important warnings appear on the page:

   • WARNING 1: Reminds you of your legal responsibility to maintain patient confidentiality when using CAREFUL to store patient identifiable data (PID)
   • WARNING 2: Informs you that all your activity in CAREFUL is automatically logged and may be audited for compliance purposes

   Take a moment to review the Careful End User Licence Agreement by clicking the provided link.

6. Accept the terms
   Check the box labeled "I agree to the terms of use and acknowledge these warnings" to confirm you understand your responsibilities. The Create account button will remain disabled until you check this box and your passwords match.

7. Complete account creation
   Click the Create account button to finalize your registration. CAREFUL will process your account creation.

8. View success confirmation
   You'll see a "Sign up Successful!" message with information about downloading the CAREFUL mobile app for iOS or Android. The page displays a countdown timer and will automatically redirect you to the login screen after 10 seconds. If you prefer not to wait, click "Click here to Login" to proceed immediately.

9. Log in to CAREFUL
   On the login page, enter your credentials:

   • Enter your email address or phone number in the Email / Mobile number field
   • Enter the password you just created in the Password field
   • If accessing on mobile, you may need to select your region
   • Click the Sign In button to access CAREFUL

10. Complete the welcome tour (optional)
    When you first log in, CAREFUL will automatically launch a guided tour of the platform's key features. This 8-step tour covers:

    • Setting yourself on duty
    • Using the action menu
    • Managing your patient list
    • Viewing your team's handover list
    • Managing actions and tasks
    • Handing over patients
    • Messaging team members
    • Accessing support resources

    You can choose Next to proceed through each step, Back to review previous steps, or Remind me later to skip the tour and explore on your own. If you choose to be reminded later, the tour will reappear after 24 hours.

Tips

• Act quickly on invitations: Invitation links expire after 15 minutes for security. If your link expires, you'll see an "Expired link" message with a button that says "Click here to resend a new link." Click this button to request a fresh invitation.

• Check your SMS: If you don't receive an SMS invitation within a few minutes, ask the person who invited you to resend it. They may need to verify they have the correct phone number for you.

• Use a strong password: While CAREFUL requires at least 10 characters, longer passwords with a mix of letters, numbers, and symbols provide better security. Avoid using personal information, common words, or passwords you've used elsewhere.

• Download the mobile app: For the best experience, especially if you work on the go, download the CAREFUL mobile app from the App Store (iOS) or Google Play (Android). You'll receive push notifications for urgent updates when you're on duty.

• Take the welcome tour: Even if you're eager to start, the welcome tour provides valuable context about CAREFUL's key features and includes video demonstrations. It only takes about 5-10 minutes and can save you time later.

• Understand your legal obligations: The warnings you acknowledge during account creation are legally binding. CAREFUL is designed for healthcare use with patient identifiable data, so you have professional and legal responsibilities for confidentiality and appropriate use.
