Introduction
Disabling a user immediately revokes their access to CAREFUL while preserving their profile and historical data. This is useful when staff members leave your organization or need temporary access suspension. Disabled users can be re-enabled at any time.
Before You Start
- You must be an Organization Administrator to disable users
- You cannot disable your own account
- You cannot disable a user who is already disabled
Steps
To Disable a User
- From the sidebar, select Organisation
- Click the Members tab to view all users in your organization
- If you need to see currently disabled users, check the Show Disabled Users checkbox above the table
- Locate the user you want to disable in the members table
- Click the three-dot menu icon (⋮) in the Actions column on the user's row
- Select Disable user from the dropdown menu (marked with a red cancel icon)
- A confirmation dialog appears with the title "Are you sure?" and the message "Please confirm that you wish to disable this user. They will no longer have access to the system"
- Click the red Disable user button to confirm, or Cancel to abort
- The table refreshes automatically and the user's row now displays "Account Disabled" in the Role column
- If Show Disabled Users is unchecked, the disabled user will disappear from the list
To Re-Enable a Disabled User
- From the sidebar, select Organisation
- Click the Members tab
- Check the Show Disabled Users checkbox above the table
- Locate the disabled user (their row displays "Account Disabled" in the Role column)
- Click the three-dot menu icon (⋮) in the Actions column
- Select Enable user from the dropdown menu
- The table refreshes immediately and the user regains access to the system
Tips
- Use disable instead of delete: Disabling preserves all historical data and audit trails, which is important for healthcare compliance
- No confirmation needed for re-enable: Enabling a disabled user happens immediately without a confirmation dialog, making it quick to restore access
- Check the filter: If you can't find a user you're looking for, make sure the Show Disabled Users checkbox is checked
- Audit trail: All disable and enable actions are recorded in the system audit log for compliance purposes
- Immediate effect: When you disable a user, they lose access to CAREFUL immediately, even if they're currently logged in
