How to Complete an Action

Introduction

Actions represent tasks that need to be completed for patient care. CAREFUL provides two ways to complete actions: a quick one-click method for simple tasks, or a detailed completion with outcome notes and supporting documents for comprehensive documentation.

Before You Start

  • You must have an action assigned to you or be a member of the team managing the action
  • Actions must be in "Open" status to be completed
  • No special permissions required beyond team membership

Steps

Method 1: Quick Complete (Simple Tasks)

Use this method when the action is straightforward and doesn't require detailed documentation.

  1. Navigate to one of these views:

    • My Actions (from the sidebar)
    • A patient's Actions tab
    • Your team's action list
  2. Locate the open action you want to complete in the table

  3. Click the checkmark icon in the action's row

    • The button transforms to show "Click to Complete"
    • You have 2 seconds to confirm before it resets
  4. Click "Click to Complete" to confirm

    • The action immediately closes and disappears from your list
    • No additional documentation is saved

Use this method when you need to document the outcome or attach supporting files.

  1. Navigate to the action through any of these locations:

    • My Actions view
    • Patient's Actions tab
    • Your team's action list
    • The action's detail page
  2. Click the three-dot menu (⋮) on the action row or at the top of the action detail page

  3. Select "Complete Action" from the dropdown menu

    • A dialog box appears titled "Complete action [action name] for patient [patient name]"
  4. In the Action result text box, enter your notes about the outcome

    • Document what was done, findings, or any relevant clinical information
    • This field is optional but recommended for care continuity
  5. (Optional) Click "Attachments" to upload supporting documents

    • Add photos, lab results, forms, or other relevant files
    • Multiple files can be attached
  6. Click the "Submit" button

    • The dialog closes
    • The action is marked as closed across all views
    • Your documentation is saved to the patient's record

Viewing Completed Actions

  1. Navigate to a patient's profile and select the Actions tab

  2. Check the "Show completed actions" checkbox

    • Closed actions appear with a "Closed" label
  3. Click on a closed action to view its outcome

    • The Outcome section displays the result text and any attachments
    • You can see who closed the action and when

Tips

  • Choose the right method: Use quick complete for routine tasks like "Check vitals - Done." Use detailed completion when clinical documentation is important for patient safety or audit trails.

  • Two-second window: The quick complete confirmation automatically cancels after 2 seconds if you don't click it. This prevents accidental completions.

  • Document outcomes: Even though the result field is optional, documenting outcomes helps your team understand what was accomplished, especially for complex actions or when care is handed over.

  • Attachments are preserved: Files uploaded during action completion become part of the permanent patient record and can be viewed by all team members.

  • Real-time updates: When you complete an action, it immediately disappears from action lists across all views and user dashboards, keeping everyone's information current.
