How to Change Patient Status

Introduction

Changing a patient's status allows you to track their progress through your care pathway. You can update the status to reflect the patient's current clinical state, and optionally backdate the change if needed.

Before You Start

  • You must have access to the patient's record through team membership
  • The patient must be assigned to your team
  • No special permissions required beyond team membership

Steps

  1. Navigate to the patient whose status you want to update
  2. Click on the patient's status tag/badge displayed in their patient profile
  3. The Update patient status dialog appears, showing the patient's name in the title
  4. Review the Current Status field (read-only) which displays their existing status
  5. Click the New Status dropdown and select the desired status from your organization's configured statuses
  6. (Optional) If you need to backdate the status change, click the Date of Change field
    • Use the date picker to select the appropriate date and time (format: dd-MM-y HH:mm)
    • You can click the quick-set button to use the current date and time
    • Note: You cannot select a future date
  7. Review any validation warnings that appear:
    • If you select the same status as current, you'll see an error
    • If you're moving to an earlier status in the workflow, you'll see a warning
    • If you select "Deceased" status, you'll see a special warning
  8. Click the Submit button to save the status change
  9. The dialog closes and the patient's record refreshes with the new status

Tips

  • Backdating status changes: Use the Date of Change field when you need to record when a status change actually occurred, even if you're entering it later
  • Status workflow warnings: Pay attention to warnings about moving backward in the status workflow - this might indicate an unusual care path
  • "No Status" option: You can set a patient to "No Status" if they don't currently fit into your standard workflow statuses
  • Future dates blocked: The system prevents future-dating status changes to maintain data integrity
  • INACTIVE status hidden: The INACTIVE status is not available for manual selection as it's reserved for system use
