Introduction
The User Profile page is your central hub for viewing personal activity, managing profile details, and controlling your on-duty status. It displays your dashboard statistics, contact information, and activity history in one convenient location.
Before You Start
Accessing Your Own Profile:
- No special permissions required
- Click your name in the sidebar to view your own profile
Accessing Other Users' Profiles:
- Team members: Click a member's row in the Members tab on any Team View
- Administrators: Access any user via the Members tab in My Organization
Navigating the Profile Page
The User Profile page has either two or three tabs, depending on whether you're viewing your own profile or another user's.
Dashboard Tab (Your Profile Only)
Your personal dashboard summarizes your workload and is your landing page when you log in. It displays:
My Work Summary:
- My Patients – Total number of patients you're responsible for
- My Actions – Split into "Actions Due Soon" and "Actions Overdue"
- My Sent Handovers – Number of handovers you've sent
- My Received Handovers – Number of handovers received
My Teams Table:
A sortable table showing all teams you belong to, with columns for:
- Team Name – Click to navigate to the team
- Patients – Patient count for that team
- Due soon – Actions approaching their due date
- Overdue – Actions past their due date
- Referrals – Pending referral count
- Messages – Unread message count (if chat is enabled)
Click any column header to sort ascending or descending. Click any team name or count to navigate directly to that view.
Profile Tab
Displays user details in a clean layout:
User Photo: Large profile photo (or default avatar if none uploaded)
Profile Information:
- First name and Last name
- Job title and Speciality
- Cell / Mobile number – Shows verification status and any pending changes
- Email – Shows verification status and any pending changes
- Contact / Bleep number – On-duty contact number
- Team Membership – List of teams (clickable links)
Phone numbers and emails are partially masked for security (e.g., +44***234). If verification is pending, you'll see "- Unverified" displayed. If a change request is pending, you'll see "Pending change to [masked new value]".
Activity Tab
Displays a chronological log of the user's activity within the platform, helpful for reviewing recent actions and maintaining an audit trail.
Managing Your Profile
Editing Profile Details
- Click the dropdown menu (⋮) in the top-right corner
- Select Edit
- The "Edit user" dialog opens with editable fields:
- First name
- Last name
- Job title
- Speciality
- Contact / Bleep number
- User photo (upload via the image uploader)
- Make your changes
- Click Submit to save
The dialog closes and your profile updates immediately. If validation errors occur, messages appear below the affected fields.
Changing Your Phone Number
- Click the dropdown menu (⋮) in the top-right corner
- Select Change Cell/Mobile number (or Add Cell/Mobile number if you don't have one)
- In the "Change Cell/Mobile number" dialog:
- Enter your new number using the country code selector (defaults to GB)
- The placeholder reads "Enter phone number"
- Click Submit
Your profile will show "Pending change to [masked new number]" until you verify via the SMS sent to your new number. Your old number remains active until verification is complete.
Changing Your Email
- Click the dropdown menu (⋮) in the top-right corner
- Select Change Email (or Add Email if you don't have one)
- In the "Change Email" dialog:
- Enter your new email address
- The placeholder reads "Enter Email"
- Click Submit
Your profile will show "Pending change to [masked new email]" until you verify via the link sent to your new address. Your old email remains active until verification is complete.
Canceling Pending Changes
If you have a pending phone or email change and want to cancel it:
- Click the dropdown menu (⋮) in the top-right corner
- Select Cancel Pending Cell/Mobile Request or Cancel Pending Email Request
- A confirmation dialog appears asking "Are you sure you want to Cancel the Pending [Mobile/Cell or Email] Change Request?"
- Click Yes to confirm
The pending change is immediately cancelled, and your profile returns to displaying only your current verified contact information.
Resending Verification
If you haven't received a verification email or SMS:
- Click the dropdown menu (⋮) in the top-right corner
- Select Resend Verification Email or Resend Mobile number Verification
- A confirmation dialog explains you'll receive a verification link
- Click Yes to confirm
The verification message is sent again.
Setting Your On-Duty Status
The On duty / Off duty toggle switch appears next to your name in the filter bar (visible on your own profile or when an administrator views any profile).
To go on duty:
- Click the toggle switch to On duty
- The "Verify contact number" dialog appears
- Confirm or update your contact/bleep number (this is how team members can reach you)
- Click Confirm
Your status updates to "On duty" and your contact number is saved.
To go off duty:
- Click the toggle switch to Off duty
- Your status updates immediately (no dialog appears)
When off duty, colleagues know you're unavailable for handovers and new patient assignments.
Other Profile Actions
Change Password:
- Click the dropdown menu (⋮) → Change password
- Follow the password change workflow
Change Language:
- Click the dropdown menu (⋮) → Change language
- Select your preferred language from the language switcher
- The UI updates immediately
Show Quick Guide Tour:
- Click the dropdown menu (⋮) → Show Quick Guide Tour
- The interactive tour launches
Permissions
Who can edit a profile:
- ✓ Users can edit their own profile
- ✓ Administrators can edit any user's profile
- ✓ System users can edit any profile
- ✗ Regular staff cannot edit other users' profiles
Restrictions:
- You cannot edit a profile while pending email or phone changes exist (cancel them first)
- The User role field is read-only in the edit dialog
Tips
- Star masking – Phone numbers and emails are partially hidden for security. You'll see your full details when editing.
- Verification is required – When changing phone or email, the old contact method stays active until you verify the new one by clicking the link/code sent to you.
- Dashboard visibility – Only you can see your Dashboard tab. Colleagues and administrators viewing your profile see only the Profile and Activity tabs.
- Contact number importance – Your contact/bleep number is how team members reach you while on duty. Keep it current.
