Introduction
Organization Administrators can promote staff members to Administrator status, giving them elevated permissions to manage the entire organization. This is a secure process requiring two-factor verification to protect against unauthorized access changes.
Before You Start
- You must be an Organization Administrator to promote other users
- You cannot promote yourself to Administrator
- You cannot change your own Administrator status
- The target user must be an existing organization member with "Staff" role
- You will need access to your verification code (sent to your registered phone number or email)
Steps
Promoting a Staff Member to Administrator
-
From the sidebar, select My Organisation
-
Click the Members tab to view all organization members
-
Locate the staff member you want to promote in the members list
-
Click the dropdown menu (three dots ⋮) at the end of their row
-
Select Promote to Organization Admin from the menu
- This option only appears for users with "Staff" role
-
A confirmation dialog appears titled Confirm Promotion to Organization Admin
- The message will read: "Are you sure you want to Promote [First Name] [Last Name] to Organization Admin?"
-
Click Yes to confirm the promotion
- Click Cancel if you want to abort the process
-
An OTP Verification dialog appears
- You'll see a message indicating where the verification code was sent (phone and/or email)
- Example: "Verification code sent to [your phone] and [your email]. You can use either one."
-
Enter the 6 or 7-digit verification code in the input field
-
Click Verify Code to complete the promotion
- If you didn't receive the code, click Resend OTP (available after a countdown timer)
-
After successful verification, the user's role updates to Administrator
- The member list refreshes automatically
- The user now has Administrator permissions throughout the organization
- The change is logged in the organization audit trail
Demoting an Administrator to Staff
The process is identical, except:
- In Step 5, select Demote from Organization Admin instead
- The confirmation dialog reads: "Are you sure you want to Demote [First Name] [Last Name] to a Organization Member?"
- The same OTP verification process applies
Tips
-
Security by design: The OTP verification ensures that only authorized administrators can change access levels, even if someone gains temporary access to an admin's computer
-
Check the dropdown: If you don't see the promote/demote option, verify that:
- You are logged in as an Administrator
- The target user is not yourself
- The target user has an "organization" account type
-
OTP issues: Verification codes typically arrive within 30 seconds. If you don't receive one:
- Check your spam/junk folder for email codes
- Verify your contact details are correct in your profile
- Use the Resend OTP button after the countdown completes
-
Audit trail: All administrator promotions and demotions are recorded in the organization audit log for compliance purposes
-
Multiple admins: Organizations can have multiple administrators. Consider promoting trusted team owners who need organization-wide access
