1. How to find extra support
First of all, I would like to show you how to get extra support with using CAREFUL by visiting our dedicated support pages.
You can find our support pages using the link in the comments, via the CAREFUL website or by clicking the support button in the sidebar menu while using the CAREFUL app.
The CAREFUL app can be found at https://app.careful.online/ for UK users or https://au.careful.app/ for Australian users.

2. How to Create an Account
If you are a first-time clinical user, your line manager will create your CAREFUL profile, and you will receive a text message containing a link to sign up.
Open the text message and click the link. Create a secure password then read and acknowledge the warnings and user agreement. Finally, click ‘Create account’ to complete the signup process.
3. How to Log in
Navigate to the CAREFUL log-in screen. Input your phone number and password, then click the Sign In button.
Once signed in, you will be asked whether you are currently on duty. After you click the appropriate option, you will be taken to your user profile homepage.
4. How to recover your password
For account unlocks, click the Forgotten Your Password button on the main log-in screen. Enter the mobile number associated with your account and click the ‘send reset link’ button. You should receive a text message on your mobile containing a link to recover your password. Click the link, enter a new secure password and confirm with the ‘reset password button’.
5. How to edit your user profile
To edit your profile, navigate to your user profile page and click on the action menu in the top right-hand corner of your screen and click Edit.
Here you can edit your first and last name, speciality, job title, and contact number. You can also upload a user profile photo. Once you have edited your details, click submit, and these details will be updated.
6. How to view the patients in your team
You can view the patients in your team either by clicking on the relevant team directly on your user profile page or by using the sidebar menu.
The patients tab contains all the patients in your team, it outlines their demographic information, location, outstanding actions and clinical summary. You can sort patients according to name, status, or location. You can switch on “show handover categories” to display useful information specific to the speciality you are working in.
7. How to take responsibility for patients
When using CAREFUL, you need to take responsibility for patients in order to use certain features, such as handing over.
You are able to take responsibility for all the patients in a certain team by navigating to your team’s page and clicking the action menu in the top right-hand corner of your screen. Then click “Take Responsibility for all patients” and confirm this action in the dialogue box. Alternatively, you can take responsibility for an individual patient by navigating to their patient profile and using the top action menu to take responsibility for the patient. Once you are responsible for a patient, they will appear in your My Patients tab.
8. How to view your outstanding tasks
To view all of your outstanding tasks, you can navigate to your My Actions tab either directly through the user profile homepage or via the sidebar menu.
Here, you can see all of the outstanding actions for the patients that you are responsible for, including the patient demographics, the action title, and the due date.
To view all of the outstanding tasks for each team you are part of, navigate to the teams page. On the patient’s tab, you are able to view and manage each patient’s outstanding actions. Additionally, on the Actions Tab, you can view a complete list of all the outstanding tasks relevant to this team.
9. How to manage actions
There are several ways to manage actions on CAREFUL. The quickest way is to navigate to the relevant team page via the user profile homepage or the sidebar menu.
Ensure the Show Actions toggle is switched on, to view each patient’s outstanding actions. Then, you can easily complete tasks by clicking the green tick and confirming your selection. You are also able to add new tasks for that patient by entering a description of the task in the text box and clicking the Create button. Actions created this way will automatically be assigned to you.
Alternatively, you can view actions in more detail by clicking on the actions tab and selecting the action which you would like to manage. You can then complete, reassign, or update the action using the action menu in the top right-hand corner of your screen.
Another way of managing actions is to select a patient from the Patients Tab. You will then be directed to that patient’s profile. If you select the actions tab, you can view, create, and manage all actions relevant to that patient.
Finally, you can also manage actions in the My Actions tab for a complete view of all the actions that you are responsible for.
10. How to update handover information
To update hand-over information, navigate to the relevant team, via the user profile dashboard or the side-bar menu.
On the patients tab, you can see key details about the patient, such as demographic information, location, and a clinical summary. On this screen, you can directly update the hand-over information specific to the speciality you are working in. Simply click on the field that you would like to update, enter the new information, and click on the tick to confirm.
If you would like to update patient details further, click on the patient to reveal their patient profile. Here, you can edit additional information, such as the patient’s location and status. To update the clinical summary, click on the text box, enter the updated information, and click submit.
11. How to use the team chat
You can navigate directly to your team chat by clicking on the message icon on the user profile dashboard. This will display the number of new messages in your team chat room.
To mention another team member in your message, use the Att symbol and select the team member’s name. You can also mention the relevant patient in the message by using the exclamation mark symbol. Once you have typed your message, click send, and the team member will be notified.
How to add a new patient to your team
The quickest way to add a new patient to your team is to click on the “Add Patient” button in the sidebar menu. Search for the patient you want to add using their name, date of birth, or hospital number. If they are already a patient on the CAREFUL system, confirm your selection by clicking the green Select button. Next, choose the team that you would like to add them to, enter their referral source, and click submit.
Alternatively, you can add patients from your team’s page. To do this, navigate to the relevant team using the sidebar menu. Click on the action menu in the top right-hand corner of the page and then click on Add Patient. Again, search for the relevant patient using identifiable information. If you cannot find an existing patient in the search results, you can create a new patient by clicking the red “create new patient” button at the bottom of the screen. This will pull through any details that you have already searched for. Then, enter all relevant details such as name, date of birth, hospital number, contact details, clinical summary, patient status and referral source. Finally, click ‘Add’ to create a new patient and all them to your team.
How to handover
When using CAREFUL, you can hand over an individual patient and their outstanding actions to another member of staff. To hand over an individual patient, navigate to their patient profile. Then, click the action menu in the top right-hand corner of the page and click on Hand-over Patient. Search for the staff member you want to hand over to and click Send hand-over request. This request will appear in your sent handovers screen, and once accepted, the responsibility for completing the outstanding actions will be transferred to the accepting clinician.
Alternatively, you can handover all the patients you are responsible for at once. To do this, navigate to your My Patients page. Then click on the action menu in the top right-hand corner and click on Hand over all my patients. Again, search for the staff member you wish to handover to, and confirm your selection.
You can also hand over all the patients in a specific team to another staff member using a similar method. First, navigate to the relevant team and then use the action menu in the top right-hand corner to select Hand-over all my Patients in this team.
How to send a referral
To send a referral to another team, navigate to your team page via the user profile dashboard or sidebar menu. Click on the patient that you would like to refer, to reveal their patient profile.
Use the action menu in the top right-hand corner of the screen and click Refer Patient to Team. Select the team you are referring from, and the team you are referring to. Next, enter your reason for referral using the S-Bar format. You can also include any relevant attachments in the referral. To send the referral, click Refer. You will be able to view the referral in the team referrals tab.
